This role provides both strategic and administrative support to the Nadcap Program, an industry-managed aerospace and defense accreditation initiative. Acting as a central point of coordination, this position supports program leadership, auditor engagement, and the Nadcap Management Council (NMC). Key responsibilities include high-level meeting and event coordination, communication with global stakeholders, and process management. The role requires strong organizational, communication, and problem-solving skills to ensure the seamless operation of a complex international accreditation program.
ESSENTIAL FUNCTIONS Executive and Program Support (20%)
- Manage complex calendars for Nadcap leadership, including prioritizing and scheduling appointments, conference calls, video conferences, and in-person meetings.
- Draft communications on behalf of leadership to support internal and external program stakeholders.
- Serve as an information hub for staff, Council members, and program participants, keeping leadership informed of activities, timelines, and updates.
Meeting & Council Coordination (45%)
- Coordinate Nadcap Management Council (NMC) and Leadership Team (LT) meetings-virtual and in-person - including agenda development, meeting materials, minute-taking, and follow-up.
- Maintain the Rolling Action Item List (RAIL), ensuring timely resolution of tasks and clear tracking of progress.
- Prepare and deliver PowerPoint presentations and supporting materials for leadership meetings.
- Facilitate meetings and support Council operations, ensuring clarity, professionalism, and effective stakeholder engagement.
Auditor Liaison & Conference Support (35%)
- Act as the primary liaison between Nadcap leadership and global auditors.
- Organize the annual Auditor Conference, including logistics, agendas, communications, and presentation coordination.
- Lead the Auditor Advisory process by gathering feedback, supporting improvements, and ensuring auditors are informed and engaged.
- Serve as the primary communicator for auditors on all matters affecting their role, including travel, personal information, program updates, and process changes.
- Support process improvements to enhance auditor experience and overall program effectiveness.
MINIMUM REQUIREMENTS
- Bachelor's degree in Business or related field, or equivalent experience.
- Minimum of five (5) years of administrative experience.
- Experience with travel planning (domestic/international) and appointment scheduling experience
- Advanced proficiency in MS Office Suite (Word, Excel, and PowerPoint), Microsoft Teams and strong internet navigation skills
- Meeting planning experience
- Excellent organizational, planning, and time management skills
- Strong oral and written communication skills, with diplomacy and political savvy
- Demonstrated ability to manage multiple priorities, act independently, and handle confidential matters
- Experience working with high-level executives, industry leaders, and Council members, with cultural sensitivity and political awareness
- Strong attention to detail
