Overview

The Finance Administrative Assistant is responsible for supporting the retail finance team in financial, administrative, and clerical duties related to financing and sale of trucks and trailers. This is a full-time, on-site position. This role is responsible for preparation and processing of loan documents, DMV/title paperwork, lien filings, and revenue booking, activities critical to risk management, revenue recognition, and dealership profitability. This position serves both internal and external customers and must balance accuracy, urgency, and customer service. The ideal candidate will demonstrate strong business acumen, attention to detail, and the ability to navigate complex financial and compliance processes. They must also act as a professional liaison to outside financial institutions, customers, and state agencies.

Responsibilities

    Preparation and validation of documents for signing in a timely manner. Packaging, submitting and follow up on contract funding.
  • Greet and assist internal & external customers with authenticity and appreciation for their business. Professionalism in serving as a liaison to outside finance institutions and banks.
  • Prepare and process accounting and / or general ledger coding of funds received. Accurately manage flooring payoffs - understanding deadlines provided in banking covenants
  • Assist employees with administrative tasks as directed by supervisor. Maintain confidentiality in all customer transactions
  • Process title work, resolve title issues and follow up on lien filing. Ability to communicate effectively with various state agencies, banks and customers
  • Responsible for booking and finalizing all equipment sale transactions
  • Complete daily detailed data entry in multiple applications as directed in an accurate and timely manner
  • Take responsibility for staying abreast of changes in branch offerings and heavy-duty trucking industry terminology.
  • Ensure quality control in all work completed in order to protect the organization's bottom line


Qualifications

  • High school diploma or equivalent
  • 1-3 years administrative experience preferably in finance industry, sales, customer service or dealership environment.
  • Experience in the automotive/trucking industry a plus but not required
  • Exceptional customer service skills and ability to build relationships quickly
  • Ability to work independently, prioritize both independently and collaboratively, and use sound judgment in a changing environment.
  • Strong desire to be part of a team and remain flexible and adaptable
  • Intermediate knowledge of Windows based PC applications such as
  • Microsoft Office (including Outlook, Word and Excel)
  • Excellent oral and written communication skills in English
  • Strong organizational and time management skills
  • Ability to be dependable in attendance
  • Knowledge of basic accounting functions desired but not required
