The HR Service Specialist II at VCU Health System provides exceptional customer service and support to team members. This role requires a working knowledge of multiple human resource disciplines and an in-depth understanding of the employee life cycle. The HR Specialist II is focused on facilitating precise and timely processing of HR cases received which include a broad spectrum of personnel functions, including managing employee data updates, administering benefits, adjusting compensation, handling organizational changes, and overseeing other essential HR tasks. The role is responsible for resolving policy-related inquiries, ensure procedural adherence, and direct complex issues to the appropriate channels.

The HR Specialist II also may provide support backup for HR Service Specialists during periods of high call demand or staffing requirements.

Essential Job Statements

  • Review and input data into employee records with changes to HRIS data, while ensuring integrity and confidentiality.

  • Consistently and accurately utilizes case management system to create, modify, and resolve issues. Clearly and concisely documents interactions with customers.

  • Assist with onboarding processes by processing paperwork and ensuring new employees have access to necessary resources as required.

  • Manage offboarding tasks such as processing terminations and updating employee records accordingly. Administration of manual launch of COBRA notification as requested.

  • Support of benefits enrollment processes, including assisting employees with enrollment entry, and ensuring compliance and eligibility requirements.

  • Responds to benefits related inquiries from employees and facilitating communications with employees such as evidence of insurability, managing/auditing open EOI request through the year.

  • Aiding with Benefit Life Event corrections to elections/relaunch life events if needed, approve requests, and elections.

  • Collaborating with payroll specialists to ensure accurate and timely processing of payroll data. Assisting with payroll inquires and resolving discrepancies as needed.

  • Develops and maintains general knowledge and understanding of all areas of Payroll and HR Management including, but not limited to Benefits, Compensation, Recruitment, HR Information Systems and Employee Relations.

  • Serves as back up to the HR Service Specialists for phone coverage as needed providing excellent customer service by actively listening and asking probing questions to fully understand the request and follow through on completion.

  • Collaborate with colleagues to foster an inclusive environment, actively participating in initiatives to strengthen and contribute to the diversity, equity, and inclusion efforts of the organization.

  • Performs other duties as assigned and/or participates in special projects in order to support the mission of VCUHS and department.

Employment Qualifications

Required Education:

High School Diploma/GED

Combination of education and experience will be considered in lieu of a degree.
