Summary of Job Duties:The Assistant University Registrar for Calendars and Administration (AUR) is primarily responsible for monitoring and updating student residency, processing waivers and discounts, creating and managing the academic calendar, and updating the UAMS Academic Catalog in the Office of the University Registrar (OUR). This position is responsible for related configuration in Workday as well as the development and implementation of policies, procedures and regular business processes. This position interacts heavily with academic departments in developing and maintaining the academic calendar and catalog. A key member of the registrar team, the AUR also provides functional support to other OUR staff through cross-training, back-up staffing and general office activities. The OUR is a department in Enrollment Services, a division of Academic Affairs. Qualifications:

Bachelor's degree or Associate's degree plus two (2) years of professional experience in higher education administration, registry, student admissions, enrollment services, or student records required.

Knowledge, Skills & Abilities:

  • 2 years of experience with a student information system, such as PeopleSoft, Banner, or Workday.

  • Intermediate proficiency with standard office computer programs (e.g., MS Office Suite).

Additional Information:

Responsibilities:

  • Coordinates and manages the UAMS Academic Calendar.

  • Monitors calendar updates, evaluates change implications, configures calendar changes in the student information system (Workday), and communicates changes to impacted departments.

  • Coordinates annual updates and reviews for the printed/online UAMS Academic Catalog.

  • Communicates with academic departments to resolve inconsistencies, errors, and corrections, and facilitates mid-cycle updates.

  • Collaborates with other Registrar staff to ensure Workday configuration is consistent with the Academic Catalog as related to course definitions and academic requirements.

  • Receives and processes requests for residency reclassifications, appeals, and exceptions for matriculated students.

  • Coordinates with the Academic Systems Specialist in the Office of Institutional Research, Policy and Accreditation (IRPA) on residency issues for pre-matriculated students.

  • Generates reports and data files related to student residency and coordinates audits and reviews with academic units. Processes employee tuition discounts and waivers in conjunction with related offices.

  • Answers phones, reviews, and responds to general OUR emails, and meets with visitors to the OUR.

  • Provides backup staffing support to other team members through cross-training for other registrar responsibilities and functions.

  • Coordinates campus clearance communications with UAMS departments and students, and develops related student communications.

  • Provides additional support to other areas of the OUR based on seasonal workload and needs.

  • Participates in Workday sub-committees and governance as required; participates in systems testing and development. Serves as secondary VA Certifying Official.

  • Maintains student records according to industry best practices and in compliance with applicable laws, UAMS Policy, and accrediting agency standards.

  • Generates reports and queries as required by institutional, college, and academic units, and responds to ad hoc requests for data/information, in coordination with IRPA.

  • Performs other duties as assigned.
