Position Summary We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be a dependable professional with excellent communication skills, strong attention to detail, and the ability to manage multiple priorities efficiently. This role requires discretion, confidentiality, and the ability to anticipate the needs of busy executives. Essential Functions
- Perform a variety of administrative tasks following established procedures.
- Operate word processing software, personal computers, and publishing applications to create documents, including those with financial, statistical, scientific, technical, or legal content.
- Enter and manage data using spreadsheets, databases, or file management programs; complete a broad range of typing projects.
- Coordinate and prepare detailed PowerPoint presentations.
- Identify administrative needs and initiate projects by setting priorities and procedures to achieve objectives.
- Maintain organized filing systems and ensure documentation is accurate and up to date.
- Handle confidential information with the utmost discretion and professionalism.
- Assist with special projects and administrative tasks as needed to support the executive team.

- Arrange complex domestic and international travel plans, including flights, accommodations, and itineraries.
- Delegate tasks and provide support and assistance to team members as needed.
- Collect data, conduct research, and compile information using various mathematical calculations for reports and projects.
- Proofread and correct grammatical, typographical, compositional, or data errors.
- Review incoming mail, highlight key items, attach relevant files, and distribute appropriately. Delegate tasks and follow up to ensure timely responses. Draft or respond to moderately complex correspondence for review and signature.
- Communicate effectively with team members, departments, and external contacts.
- Screen calls and respond to inquiries from all levels of employees and external parties.
- Manage calendars closely and schedule appointments as needed.
- Assist with special projects and administrative tasks as needed to support the executive team.
- Perform other related duties as assigned.
Qualifications
- Minimum of four years of related administrative or executive assistant experience.
- Exceptional organizational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High level of discretion and professionalism in handling confidential information.
- Excellent problem-solving skills and attention to detail.
- Flexibility and adaptability to changing priorities and deadlines.
- Typing speed of at least 60 words per minute. Proficient with personal computer software.
- Excellent verbal, written, and interpersonal communication skills.
- Ability to accurately record meeting proceedings.
- Strong knowledge of office equipment and administrative procedures.
- Ability to work collaboratively and be an engaged team player.
- High School Diploma or equivalent required; Associates Degree or higher preferred.
