Summary	Michigan Technological University Human Resources Customer Support seeks and Administrative Aide to perform a wide range of administrative support related tasks that contribute to the overall smooth operations of diverse HR functions while remaining flexible, proactive, resourceful, and professional. This department positively represents the University by providing outstanding customer service when responding to the needs of campus clients and external contacts.
Responsibilities and Essential Duties	Provide administrative support for daily HR functions including answering phones and directing non-routine questions; receive and route mail; manage email accounts and request tracking system; compose routine correspondence; draft replies to non-routine inquiries. Greet and assist customers in a friendly, courteous manner Receive, process and maintain forms related to HR. Independently research and resolve problems associated with HR. Build and maintain packets for New Husky Orientation including but not limited to benefits, payroll and/or employment eligibility verification Calculate and track RSVP points and eligibility, leave balances and process any necessary adjustments or payouts Review and update HR forms and website information to ensure accuracy Process print requests Complete Benefits and/or Payroll deduction adjustments Maintain and update permanent, confidential Employee files Data enter and maintain employee records in Banner Complete internal and/or vendor audits Run Banner reports related to HR. Assist in the biweekly data entry for multiple processes Be knowledgeable about the organization and business of MTU Human Resources and act as a backup to support all areas Be knowledgeable of regulations including but not limited to Federal, State and local taxes Create M-numbers and User ID's in Banner Process Visitor Access Forms Review, track and data enter employment forms as needed. Collect the appropriate materials and sign-off on I-9 forms for new employees while tracking and communicating progress with departments Work with the employment representative to process and track background checks for new employees Track and support function with the faculty Review, promotion and tenure process Provide support for the Campus & Community Welcome Program which include but are not limited to: coordination of schedule, greet and welcome upon arrival and preparation of materials Review EPAF edits and process those ready to be applied PageUp support role for academic and staff employment Analyze and enter data in the Banner system from all status forms which include but are not limited to: Position Authorization Forms, Employee Status Change Forms and Short-Term/Casual/Seasonal Employment Authorization Forms Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives. Integrate safety practices into daily activities Assist with special projects, functions and events Other duties as assigned
Required Education, Certifications, Licensures	* High school diploma or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired
Required Experience	* Two years office/clerical experience * Two years of proven high-quality customer service experience * Two years experience using personal computers including Microsoft Word and Excel
Desirable Education and/or Experience	* Familiarity and experience with Banner * Experience creating forms * Experience working with people from multiple countries and cultures
Required Knowledge, Skills, and/or Abilities	* Excellent interpersonal, customer service and written/oral communication skills * Demonstrated willingness and ability to learn and follow instructions * Demonstrated ability to work effectively with frequent and multiple interruptions * Demonstrated ability to simultaneously work on multiple projects * Demonstrated knowledge of proper grammar, spelling, and punctuation * Demonstrated ability to be flexible and adapt to changing priorities * Demonstrated ability to work as a member of a team and contribute to the overall smooth operation of an office * Demonstrated success in working with persons with a wide variety of personal characteristics and viewpoints. * Demonstrated commitment to contribute to a safe work environment
Desirable Knowledge, Skills, and/or Abilities	Familiarity and experience with Human Resources functional responsibilities.
