Position Summary: The College Savings Operations Mail and Imaging Services Associate 2 will be responsible for ensuring mailings are in proper order for distribution. These professional processes all the Imaging and Mail Team and the Operations Administrators daily queue work.

Essential Functions:



  • Generate, print, and mail distribution checks. Have all checks ready for pickup in the outgoing mailroom by 11:30 p.m.
  • Edit and print all account welcome letters, coupons, and account update letters for mailing.
  • Scan and index distribution checks, reissued stop pay checks, and coupons.
  • Categorize and process triage items in workflow.
  • Sort, open, prepare, and scan incoming mail for processing.
  • Prepare and input all enrollment forms, additionals, along with other account updates for our 529 programs with 99% accuracy.
  • Follow up with the Pending Team when paperwork is incomplete.
  • Balance all checks processed for our 529 programs with 100% accuracy.
  • Demonstrate thorough understanding of all department policies, government regulations, and compliance requirements involving Section 529 College Savings Plans.
  • Understand and adhere to all bank policies, laws, and regulations applicable to their role. Complete compliance training, follow internal processes and controls as required.
  • Report all compliance issues, violations of law or regulations in accordance with the steps defined in bank policies.
  • Regular and reliable attendance is an essential function of this position.
  • Perform other job-related duties or special projects as assigned.


Qualifications:



  • Strong input accuracy skills -applicant is required to achieve a minimum score of a 90% with minimum keystrokes of 8500 on the Union Bank data input test to be considered.
  • Two years of database and operations experience preferred.
  • Knowledge of spreadsheet, word processing and database management software.

Working Environment:

Indoor work - not exposed to outdoor elements or hazards.
