The Fleet Compliance Specialist is responsible for ensuring the organization's fleet operations adhere to all applicable laws, regulations, and internal policies. This role requires meticulous attention to detail, strong organizational skills, and the ability to manage multiple tasks effectively. The primary focus includes managing compliance with procurement policies, overseeing fleet vehicle regulations, and ensuring the proper maintenance and accurate reporting of fleet assets.

This role plays a crucial part in minimizing risk by proactively identifying and addressing compliance issues related to fleet vehicles and equipment. The ideal candidate will have experience with regulatory compliance, knowledge of fleet management systems, and the ability to handle audits and inspections efficiently. Strong communication skills and the ability to collaborate with internal teams and external agencies are essential.

Responsibilities of Position:



  • Assist Fleet Manager with purchase, transfers, disposal and compliance of fleet vehicles and equipment for over 2500 vehicles.
  • Coordinate with state governments with new registrations and renewals.
  • Working with companies' financial groups to ensure that all accurate finances are recorded.
  • Maintain accurate records and documentation, ensuring that all company, state, and federal regulatory compliance items are completed monthly, quarterly and annually.
  • Communicate with managers and employees via various methods to effectively manage and resolve compliance issues.
  • Communicate with third-party vendors to validate the information and obtain results promptly.
  • Perform job duties in compliance with all local, state, and federal regulations, and company policies.
  • Assist with internal and external audits that pertain to the fleet vehicles and equipment.
  • Other duties as assigned.



Skills & Abilities Needed for Position:



  • Must possess a professional demeanor and telephone etiquette.
  • Must be organized and detail-oriented with the ability to multi-task & prioritize to meet time-sensitive deadlines.
  • Ability to work in a fast-paced environment while maintaining detailed and accurate records.
  • Must work efficiently and effectively, both independently and as a team.
  • Must display a high level of initiative, effort, and commitment towards completing assignments efficiently.
  • Effective verbal & written communication skills.
  • Maintain a high level of confidentiality with all information obtained within the scope of employment.
  • Ability to identify issues, make decisions, and resolve problems.



Experience & Knowledge Needed for Position:



  • Computer proficiency in Outlook, Windows, and Microsoft applications.
  • Experience with SAP, SAC, OEM customer portals preferred.
  • 4 years experience with Invoice management and the handling of company assets preferred.
  • Bachelor's Degree in Accounting/Finance or equivalent experience in Finance/Accounting.



Physical Requirements in a Regular Workday:



  • Rarely lifting/carrying/pushing/pulling a max of 20 lbs.
  • Continuously sitting/standing/walking in an office environment.



Additional Working Conditions/Aspects:



  • Ability to travel between offices, as required.
  • Legally eligible to work in the United States.
  • Valid driver's license (if applicable).
  • Must successfully complete pre-employment testing.
  • Must be able to read and speak the English language.
