Job Title: Sales Administrator

Location: Lexington, KY

Work Hours: 8:30am-5:30pm

Classification: Non-Exempt, Full-Time, Direct-Hire

The Sales Administrator supports the sales process by sourcing parts, preparing quotes, and coordinating with vendors and internal teams to ensure accurate and timely order fulfillment. This role also handles customer communication, resolves issues, maintains records, and assists with logistics and inventory tasks.

Responsibilities:

Promptly respond to emails to maintain clear communication with customers and internal teams.

Identify customer needs for parts and services and source them accurately per specifications.

Coordinate with vendors to confirm pricing, lead times, export requirements, and part details.

Prepare price quotations based on vendor info and customer inquiries.

Review purchase records to adjust pricing or terms in line with policies and customer history.

Process and verify customer orders, collaborating with departments as needed.

Resolve issues such as mis-shipments, defects, or complaints promptly.

Track ETAs and follow up with vendors and logistics to update customers on order status.

Maintain spreadsheets and records for accurate order tracking and customer data.

Follow up on overdue invoices and coordinate with Accounting.

Support operations with shipping, inventory, and logistics tasks as needed.

Provide regular updates and reports to management.

Qualifications:

Proficient in Microsoft Office, typing, and Excel

Strong time management, communication, and organizational skills

Detail-oriented, professional, and a team player

Quick to learn new systems, including ERP software

Japanese bilingual or understanding of Japanese culture is a plus
