GENERAL DESCRIPTION

The Manager, Franchise Administration will be responsible for the management and implementation of administrative

functions associated with Potbelly's franchise program to include franchise administration systems design and

management, procedural and legal documentation, scheduling, reporting, and other duties as needed.

FOCUS

Responsibilities

  • Manage all franchisee administrative functions involved in Potbelly Franchise Program
  • Create Systems, Manage and Update the Franchise Department Operations Manual (FDOM)
  • Manage various committees including Growth and Real Estate

o Create approval site packages for either electronic or in person approvals.

o Schedule meetings, provide reports, collect/assemble information packages as needed.

o Coordinate cross-functional reporting.

  • Management of the CRM program (FranConnect or current platform) including upgrades, revisions and training to various cross-functional team.

o Develop key metrics and provide regular updates on franchise sales, SDAA execution, real estate, and construction.

o Create and provide highly detailed sales reports to manage ROI and performance against goals and objectives.

o Manage the file maintenance of all individual franchisee, franchise entity and/or shop information, communication and documents in the CRM including, but not limited to, the Franchise Agreement, SDA, Leases, transfers, defaults, terminations or other as required.

  • Manage the contract obligations including:

o SDA obligations and missed dates.

o Lead a cross-functional team to provide yearly FDD updates.

o Legal document review for contracts (i.e.: Lease Reviews, License Agreements, etc.)

  • Manage the SLT approval package process for franchise candidates, existing franchisee new development, franchise-to-franchise transfers and site selection using electronic approval systems (Teams Approvals, Adobe Sign, or current platform).
  • Manage the transfer of franchisee onboarding process to include orientation meetings (ie: "Meet the Team",
  • "Market Plan Review", and "FranConnect Training")
  • Manage other administrative, contract management needs involving the Potbelly franchise program.
  • Ability to identify, create and manage electronic systems, tools and reports.
  • Other duties as assigned

ESSENTIAL PHYSICAL FUNCTIONS

  • Must have the ability/stamina to work a minimum of 40-45 hours per week.
  • Will frequently reach, feel, bend, stoop, carry, finely manipulate, and key in data.
  • Must be able to engage in problem-solving skills to help identify and solve potential issues in the field.
  • Must be able to communicate heavily through telephone, e-mail, messaging, video, and in-person communications.
  • Must have the ability to travel as needed to attend meetings and events

EXPERIENCE, EDUCATION, AND BEHAVIORS

  • Must represent The Potbelly Way and Our Values.
  • BA or BS required.
  • Legal experience or paralegal required.
  • 10 years of franchise administration experience and 5 years of paralegal/legal/management of franchise
  • administration. Restaurant industry experience preferred, but not essential.
  • Experience with contract review, corporate state filings, and incorporating new companies.
  • Exceptional communication skills, both written and verbal.
  • Ability to multi-task, organize and prioritize.
  • Must be highly detail oriented and organizational skills.
  • Exceptional interpersonal skills are essential, along with the ability to interact with all levels of a company
