Summary:

The Incentives Termination Specialist will support the client processing all aspects of incentive terminations, from verifying eligibility and documentation to processing payments and generating reports. This role requires detailed knowledge of incentive guidelines and regulations, ensuring all actions regarding the termination, suspension, or reinstatement of incentives are completed accurately and in compliance with ARNG policies.


Responsibilities

Essential Job Functions:

  • Process all incentive terminations in accordance with Army National Guard (ARNG) guidelines and regulations.
  • Review service member eligibility for incentive terminations, ensuring all required documentation is complete and accurate.
  • Verify all necessary documentation for incentive terminations, including re-enlistment agreements, loan repayment documents, and other required paperwork.
  • Ensure compliance with ARNG policies for the documentation required for each termination.
  • Confirm that all criteria for incentive termination are met, including the completion of required actions and compliance with ARNG regulations.
  • Accurately and timely update the Guard Incentive Management System (GIMS) with records of all terminated incentives.
  • Ensure GIMS reflects the status and details of each termination in real-time.
  • Process all payments related to the termination of incentives, such as bonuses or loan repayments, ensuring full compliance with ARNG policies.
  • Monitor the status of incentive termination payments and resolve any delays or issues promptly.
  • Maintain accurate and complete records of all incentive terminations, in line with ARNG retention and documentation standards.
  • Ensure all records are up-to-date and compliant with applicable ARNG and DoD regulations.
  • Provide weekly and monthly reports
  • Address any discrepancies found in incentive termination processing, including errors in payment amounts, eligibility issues, or documentation problems.
  • Assist service members with inquiries related to incentive terminations, including eligibility, required documentation, and payment status.
  • Ensure service members receive timely and accurate information about their incentive termination process
  • Implement corrective actions when errors in incentive terminations are identified, ensuring compliance with ARNG regulations and policies.
  • Resolve discrepancies in a timely manner and ensure proper documentation for corrective actions.
  • Conduct monthly audits of incentive terminations to ensure compliance with ARNG guidelines and regulations.
  • Provide all necessary documentation for incentive terminations during internal or external audits.
  • Regularly review and update incentive termination policies and procedures to ensure they align with any changes in ARNG regulations or policies.
  • Conduct periodic assessments of the incentive termination process and make recommendations for improvements to enhance efficiency, accuracy, and compliance.
  • Implement improvements based on feedback and regulatory updates.
  • Provide training for ARNG personnel on incentive termination procedures and policies to ensure staff is well-informed and compliant with regulations.
  • Ensure that all incentive termination actions comply with federal and state regulations, including tax laws and ARNG policies.
  • Track and report discrepancies related to incentive terminations, including delays, eligibility issues, or documentation problems.
  • Ensure that all steps in the incentive termination process, including documentation, payment processing, and final updates in GIMS, are completed in a timely and accurate manner.
  • Works closely with the senior leadership and fellow teammates to ensure the readiness and retention of over 11,000 personnel within the GAARNG.
  • You must be comfortable working with an executive leadership team and maintain a professional and positive attitude.
  • Requires a strong background in recruiting and the retention process. HR background is a plus.
  • Daily tasks include administrative, data analysis, and coordination within the team to ensure goals are met.

Qualifications

Necessary Skills and Knowledge:

  • Strong written and verbal communication skills
  • Detail-oriented with excellent organizational abilities
  • Analytical mindset with the ability to gather, analyze, and interpret data for the federal government
  • Ability to present data to senior leadership.
  • Proficiency in using retention management software and other relevant systems.
  • Self-motivated and able to work independently as well as in a collaborative team environment
  • Strong proficiency in MS Office Suite, particularly Word, Excel and PowerPoint; and Adobe Acrobat Professional
  • Exceptional organizational and time management skills, with the ability to meet tight deadlines and ensure compliance with all policies and procedures.
  • Works well in a team environment
  • Understanding of the federal and state regulations, including tax laws that apply to the program.

Minimum Qualifications:

  • Bachelor's level degree in Human Resources, Economics, or Business Administration required or equivalent experience
  • Minimum 3 years of professional experience in management, recruitment background.
  • Experience working with the Army National Guard (ARNG) incentives policies and guidelines.
  • Experience working with the Guard Incentive Management System (GIMS) or similar management software.
  • Must be a US Citizen
  • Active Secret Security Clearance.

  • Advance degree and/or certifications.
