The Cancer Institute at West Virginia University is currently accepting applications for a (Hybrid) Project Manager of Events and Continuing Medical Education About the Opportunity The WVU Cancer Institute is a leading center for cancer care and research, dedicated to advancing education, treatment, and outreach programs that improve patient outcomes. The Project Manager will play a pivotal role in fostering the institute's mission to promote knowledge-sharing and professional growth within the medical community. The Project Manager will oversee the strategic planning, coordination, and execution of academic conferences, events, and continuing medical education (CME) programs at the West Virginia University Cancer Institute. This individual will work collaboratively with faculty, staff, and external stakeholders to ensure high-quality, impactful events that align with institutional goals. The role requires excellent organizational, communication, and project management skills to meet deadlines and achieve programmatic success. What You'll Do
- Conference and Event Planning:
- Lead the strategic planning and execution of academic conferences and events, including symposiums, workshops, and seminars.
- Develop timelines, budgets, and logistical plans to ensure smooth operations.
- Identify and secure venues, coordinate catering, audiovisual needs, and manage other event logistics.
- Manage registration processes, including attendee communications and payment systems.
- Continuing Medical Education (CME):
- Coordinate CME activities in compliance with accreditation standards and institutional guidelines.
- Collaborate with faculty and healthcare professionals to develop educational content.
- Ensure accurate documentation and reporting for CME accreditation.
- Stakeholder Collaboration:
- Act as the primary point of contact for internal teams, external vendors, and academic collaborators.
- Work closely with marketing and communications teams to promote events and programs.
- Foster relationships with sponsors, exhibitors, and community partners.
- Budget and Resource Management:
- Develop and monitor budgets for conferences and events, ensuring cost-effectiveness.
- Manage contracts and negotiate terms with service providers.
- Track expenses and prepare financial reports post-event.
- Quality Assurance and Evaluation:
- Conduct post-event evaluations to measure outcomes, attendee satisfaction, and areas for improvement.
- Implement best practices for future event planning and CME offerings.
- Compliance and Standards:
- Stay updated on regulatory and accreditation requirements related to CME and academic events.
- Ensure all events adhere to institutional policies and professional standards.
- Strategic Leadership and Staff Oversight:
- Provide leadership and support to administrative staff involved in event planning and CME activities.
- Mentor and develop team members to achieve their full potential.
- Innovation and Improvement:
- Develop and implement innovative strategies to enhance the impact and reach of academic conferences and CME programs.
- Continuously seek opportunities for process improvement and program enhancement.
Qualifications
- Bachelor's degree in project management, business administration, healthcare management, or a related field. Master's degree preferred.
- A minimum of two (2) years of experience in the following:
- Proven experience in event planning, project management, and/or academic conference organization.
- Familiarity with CME requirements and accreditation processes is highly desirable.
- Any equivalent combination of related education and/or experience will be considered.
- All qualifications must be met by the time of employment.
Knowledge, Skills and Abilities
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in project management tools and event management software.
- Budget management and financial reporting expertise.
- Ability to work flexible hours, including occasional evenings and weekends, as required by event schedules.
- Strong interpersonal skills and the ability to work collaboratively with diverse teams.
