Reporting to the Head of Research Services and Resources (RSR), the Chat Service Manager is responsible for managing the Library's virtual live chat reference service, including scheduling and staffing, training, and quality evaluation to ensure the Library provides high-quality reference service to patrons. They will participate in providing chat reference directly to library patrons and will also provide administrative support to the RSR department.

Duties & Responsibilities:

  • Provide reference assistance directly to library patrons via the live chat platform. Effectively refer complex questions to library faculty liaisons. Work closely with library colleagues from other departments to resolve queries.
  • Coordinate scheduling and staffing of the chat reference service to ensure appropriate staffing during all chat service hours. Manage calendars, monitor gaps in coverage, and resolve staffing issues. Hire, train, and supervise student employees providing chat service. Provide regular training to Library faculty, staff and student employees providing chat service. Monitor and evaluate chat quality to ensure consistent quality across the chat reference service. Monitor and analyze usage and quality data and utilize findings to develop training, identify appropriate staffing levels, and make suggestions for improvements.
  • Provide administrative support to the Research Services and Resources department. Attend RSR meetings and take minutes. Assist with scheduling meetings for the RSR department. Enter instruction data into LibAnswers for RSR instructors.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications Required:

    1. High school diploma or equivalent.

    2. Any combination totaling two (2) years (24 months) from the following categories:

    A. work experience in a library or equivalent setting.

    B. college course work in any field as measured by the following conversion table:
    • 30 semester hours equals one (1) year (12 months)
    • Associate's Degree (60 semester hours) equals eighteen months (18 months)
    • 90 semester hours equals two (2) years (24 months)
    • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)

    3. A total of two (2) years (24 months) work experience in a library or equivalent setting performing progressively more responsible work consistent with the next lower level of this series.

    Preferred Qualifications:
    • Bachelor's degree preferred.
    • Library and/or research experience providing friendly and professional customer service.
