The School of Public Health (SPH) Facility Operations Coordinator, in collaboration with the Associate Dean of Administration, will be responsible for planning, coordinating and directing all general facility and building-related operations for the School of Public Health.

Duties & Responsibilities:

  • Serve as SPH liaison with campus officials from PSPM, Facilities Management, Building Services, Space Management, Police, Parking, Office of Sustainability, Telecommunications, ACCC, and Risk Management to troubleshoot and resolve facility related issues.
  • Oversee SPH Front Desk operations including mail and package delivery, classroom scheduling, general building safety/security, addressing general building inquiries. Oversee front desk staff including making weekly schedules, assigning tasks, training as needed, and providing feedback and performance reviews.
  • Responsible for the development and periodic review/update of policies and procedures for various SPH facilities and building operations to ensure continuous improvement and effective service delivery. Requires regular communication with SPH leadership, SPH Student Affairs and staff from the Department of Psychiatry.
  • Obtain cost estimates and proposals for upgrades to offices, classrooms and other renovation projections. Responsible for tracking ongoing projects, attending project-related meetings, and ensuring projects are completed timely and accurately.
  • Maintain accurate space records for Dean's office space. Prepare offices for new employee occupancy. In coordination with Associate Dean of Administration, complete the annual Campus Space Survey.
  • Responsible for biennial inventory, Industry Weapon/1st floor and elevator monitor displays and maintain access to the EMS Manager system.
  • Responsible for building key management and access for Dean's Office personnel. Interact with SPH and Psychiatry staff to address general building access issues or questions.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications Required:


    1. High School Diploma or equivalent.

    2. Any one or combination totaling three (3) years (36 months) from the categories below:

    A. college course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
    • 60 semester hours or an Associate's Degree equals one (1) year (12 months)

    B. training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.

    C. work experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.

    3. One (1) year (12 months) of supervisory or administrative experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience

    Preferred Qualifications:

    • Three years of experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.
    • Excellent technical skills and knowledge/proficiency with Microsoft Office, online video conferencing platforms (Zoom,
    • WebEx, Microsoft Teams), cloud based systems (Box) and Qualtrics.
    • Strong project management skills.
    • Strong interpersonal, communication, written, and customer-service skills.
    • Ability to work autonomously, and collaboratively in a diverse and team-based environment.
    • Ability to deal effectively with various personalities and the ability to manage and prioritize multiple task tasks or projects.
    • Ability to lift light, medium and heavy items.
