Job Summary

Reporting to the Chief of Staff, this position provides high-level executive administrative support to the Vice Chancellor, Diversity and Outreach. In addition, this position will manage the office environment ensuring compliance with internal controls and practices. This position also provides high-level administrative support for initiatives and special projects, including oversight and management of annual and special events and planning and diversity committees .. The incumbent serves as a key liaison with the Chancellor's Office, Deans' offices, other campus administrators, faculty, staff, students, representatives of other campuses, UC Office of the President, and members of the public on a wide range of issues, including handling highly confidential materials and situations.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $87,000 - $130,500 (Annual Rate).

We collaborate with the four professional schools, the Graduate Division, and the medical centers, to promote diversity, equity, and inclusion across UCSF.

The Vice Chancellor's Office of Diversity and Outreach (VCDO) includes oversight for the Center for Science Education and Outreach, Climate and Belonging, Disability, LGBT, Multicultural and CARE Resource Centers, the Office for the Prevention of Harassment and Discrimination, Sexual Violence Prevention and Response, and the direct administrative office of the Vice Chancellor of Diversity and Outreach.

The mission of the Office is to build a broadly diverse faculty, student, trainee and staff community, to nurture a culture that is welcoming and supportive, and to engage diverse ideas for the provision of culturally competent education, discovery and patient care. Our priority is to develop and execute a comprehensive strategic plan for diversity and outreach that supports UCSF's mission of advancing health worldwide, and the recruitment and retention of talented employees and students who contribute to our commitment to diversity and excellence.

Required Qualifications


  • Bachelor's degree in related area and minimum three years of experience or equivalent experience / training.
  • Demonstrated ability to communicate clearly and effectively both verbally and in writing; excellent verbal, written and interpersonal communication skills including editing and independent writing skills.
  • Ability to work effectively with diverse and multi-cultural constituencies.
  • Demonstrated ability to work in an environment which involves handling confidential, highly sensitive situations/matters with respect and good judgment.
  • Demonstrated ability to negotiate with individuals at all levels on matters that are sensitive in nature.
  • Demonstrated executive support experience, including management of complex calendars and competing meeting requests.
  • Demonstrated ability to utilize events and assessment tools such as Survey Monkey and Qualtrics to track participants, progress and make recommendations for process improvement.
  • Demonstrated ability to independently oversee and manage large scale events and programs that impact the broader campus and Medical Center.
  • Demonstrated experience in prioritizing and managing multiple tasks, with attention to detail and maintaining high quality customer service.
  • Knowledge of OLPPS, Weblinks, MyExpense, personnel policies and procedures, Peoplesoft, BearBuy.
  • Demonstrated proficiency with Microsoft Word, Excel, Power Point, Survey tools
  • Demonstrated excellence in using Microsoft Outlook for complex scheduling of multiple calendars.
  • Demonstrated experience in managing and coordinating successful diversity related programs and events.

Preferred Qualifications


  • Demonstrated executive support experience at UCSF or another UC campus.
  • Knowledge of UC and UCSF organization as well as UC policies and procedures.
