Position: Finance Assistant (Administrative Support III)

Reports To: Financial Manager

Location: Vancouver, WA (Primarily on-site, occasional local travel)

Salary/Hourly Rate:$31.53/hr

H&W Rate:$4.93/hour

Type: SCA Full-Time

Job Summary: IBEX is seeking two highly skilled Finance Assistants (Administrative Support III) to join our team in supporting Government Financial Operations. This role requires strong administrative experience, financial acumen, critical thinking, and the ability to perform complex clerical and accounting tasks under pressure. The ideal candidates will be detail-oriented professionals capable of working independently, delivering excellent customer service, and providing accurate and timely financial and administrative support to internal and external stakeholders.


Key Responsibilities:


  • Review and verify financial documents, invoices, and statements for accuracy and compliance.



  • Analyze, reconcile, and resolve discrepancies in accounts using financial systems.



  • Maintain and update financial procedures and records.



  • Support PRISM and Delphi systems for financial tracking and reconciliation.



  • Prepare, process, and track travel authorizations, vouchers, and related documents in e2 Travel Management System.



  • Prepare correspondence, reports, and presentations with minimal revision required.



  • Assist with preparation of executive materials, meeting notes, and timecard/travel documentation.



  • Independently prioritize and execute tasks across multiple assignments.



  • Provide professional customer service and maintain confidentiality.



  • Mentor junior administrative staff as needed.




Finance-Specific Duties:


  • Code, review, and submit obligation documents.



  • Conduct monthly reconciliations and manage invoice aging reports.



  • Create and maintain briefing materials for meetings and webinars.



  • Enter and manage payroll and procurement data in relevant systems.



  • Review financial reclassification/project distribution requests.



  • Provide financial reports including project expenditures and closeouts.




Work Environment and Physical Demands:

This position is primarily on-site at the WFLHD office in Vancouver, WA. Occasional local travel to project or meeting sites may be required. The role involves light physical demands such as lifting items up to 20 pounds and standard office activities (sitting, typing, filing).


Appearance:

Business casual attire is required. Closed-toe shoes and long pants may be necessary depending on site activities. Business dress may be requested for special occasions.


Qualifications


  • Experience: Minimum of 5 years in administrative roles, supporting senior management, including experience in financial document review and reconciliation.



  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Access), SharePoint, Adobe Acrobat, SQL, and web browsers. Experience with government systems like PRISM, Delphi, and e2.



  • Typing Speed: Minimum 35 WPM.



  • Communication: Excellent written and verbal communication skills. Familiarity with the Government Style Manual preferred.



  • Education: High School Diploma or GED required.
