Your Role on the Team

Professional who applies acquired job skills, policies, and procedures to complete substantive assignments / projects / tasks of moderate scope and complexity; exercises judgment within defined guidelines and practices to determine appropriate action. Under the general supervision of the Director of Academic Personnel and Human Resources (AP/HR), the Academic/HR Coordinator is responsible for the daily administrative operations of the Academic and Staff Human Resources Office and provides administrative support to the Director of AP/HR, and Academic and Staff Human Resource manager. Administrative operations include the maintenance of both hard and soft personnel and recruitment files, transfer of digital files for appropriate record maintenance and purging, as well as being responsible for student and visiting scholar employee hiring which includes onboarding, inputting hires, and separations. The Academic/HR Coordinator performs basic UCPath hire and payroll entries, DTA maintenance for student employee timesheets and backup DTA for faculty and staff, monthly Cognos downloads and tracking of end dates, and maintains the school's organizational lists, directory information, and intranet. AP/HR support include monitoring AP recruitments and AP Recruit app functions; assisting in coordinating seasonal faculty visits; coordinating staff recruitments and inputting and exporting JDX and ICIMS functions; managing confidential and sensitive issues; develops and presents options for creating or improving procedures; gathering information from a variety of sources, analyzing, and evaluating data, preparing reports. Manage student and HR inboxes with 24 to 48 hours turn around.

The expected pay range for this recruitment is $31.72- $34.70 (Hourly).

Required:

  • Demonstrated ability to organize and present complex information effectively to a range of audiences including faculty, students, staff, and members of the legal community.
  • Demonstrated ability to organize and implement the logistical requirements of faculty visits during recruitment and school visits.
  • Excellent writing skills to draft correspondence, memos, reports, and messages that are clear, logical, and concise.
  • Demonstrated ability to speak, distinctly and diplomatically to obtain or relay concise, relevant information while using appropriate vocabulary and grammar through all forms of communications both digitally and orally.
  • Advanced knowledge of Microsoft Office suite, including Word and Excel.
  • Ability to maintain confidentiality of information with tact and discretion.
  • Ability to conduct the business of the University in accordance with the Core Values and the Standards of Ethical Conduct, exercising sound judgment and serving the best interests of the institution and the community.
  • Interpersonal skills to communicate and interact effectively with faculty, staff, students, vendors, and the public.
  • Ability to set priorities that accurately reflect the relative importance of job responsibilities and deadlines.
  • Skill in working collaboratively to prioritize work demands and resources to meet anticipated deadlines.
  • Ability to take initiative, pay attention to detail, work independently, organize workflow, establish a productive work environment, and follow through on assignments with minimal guidance and supervision.
  • Experience supporting high-level professionals.
  • 3-5 years Administrative Experience.

Preferred:

  • Experience managing administrative operations in a higher education or law firm setting.
  • Working knowledge of appropriate University and agency policies and procedures.
  • Knowledge of UCI internal online Kuali Financial System (KFS), Basic UCPath, UC Time Reporting System (TRS), Personnel Records Online System (PROs), and AP Recruit and Fast Class, UCI International Tool system, and Cognos.
  • 1-3 years HR and/or Payroll Experience.

Special Conditions:

  • Occasional schedule and shift assignments (i.e. weekends, evening shifts) may be adjusted to ensure adequate staffing and coverage to meet operational requirements and necessities in an efficient and orderly manner. Such changes will be made and in compliance with Article 10 of the current Teamsters Local 2010 contract.
