Summary of Job Duties:The Administrative Specialist III provides administrative support to the Department of Pediatric Radiology Division Director and faculty located on the ACH campus. The Administrative Specialist III will coordinate administrative processes and prioritizes, directs, and responds to departmental matters involving administrative functions. Qualifications:
  • High School diploma/GED plus three (3) years of administrative office support required.

  • Knowledge of Microsoft Office.

  • Good verbal and written communication skills.

Preferred Qualifications:

  • Bachelor's degree.

  • Prior experience healthcare in a setting.

Additional Information:

Responsibilities:

  • Provide administrative and office support to the section chief and faculty of Pediatric Radiology.

  • Serves as the administrative assistant by maintaining calendars, arrange meetings and schedule appointments with faculty, leadership, staff, etc.

  • Develops and maintains databases, spreadsheets, and correspondence, etc. based on information provided to be distributed to appropriate individuals.

  • Responsible for distribution of departmental mail. Attends meetings and takes minutes as requested by leadership.

  • Organizes and coordinates events which may include creating timelines; collecting agenda items and background materials; coordinating itineraries for recruitment, visiting professors, and/or special events. Assist faculty, guests, and staff with scheduling flights, hotels, etc.

  • Works closely with Radiology Departmental Business Officer on various items including but not limited to processing appropriate invoices, procurement, membership/travel requests, and departmental inventory.

  • Provides assistance with preparing, monitoring, and editing clinical and on-call schedules.

  • Provides assistance with onboarding new faculty/staff and residents (during ACH rotations) including but not limited to: obtaining ID badges and access and appropriate computer systems access.

  • Perform other duties as assigned.
