Columbia University's Mortimer B. Zuckerman Mind Brain Behavior Institute, housed in the Jerome L. Greene Science Center, hosts world-class scientists across academic disciplines aimed at deepening our understanding of brain function and behavior. The Institute fosters a collaborative and inclusive environment across 50+ labs, advancing insights into human health by exploring how the brain develops, performs, endures, and recovers. The Marlin Lab at the Zuckerman Institute, led by Dr. Bianca Jones Marlin, Freeman Hrabowski Scholar, examines how organisms unlock innate behavior at the appropriate times (e.g., parental instinct), and how learned information is transmitted to subsequent generations via transgenerational epigenetic inheritance. The lab is currently looking for an experienced Executive Administrative Coordinator to directly partner with and support Dr. Marlin with a broad range of administrative duties. About the Executive Administrative Coordinator role:
As the Executive Administrative Coordinator, you will serve as the main point of contact on behalf of Dr. Marlin and the lab team. This role is expected to be fully in-person in the lab (5 days/week) to start, but there may be flexibility to allow for some remote work after this initial acclimation period.

What you'll do:

  • Managing scheduling and serving as primary liaison for Dr. Marlin's calendar.

  • Triaging Dr. Marlin's e-mail inbox and handling a variety of correspondence including general responses, inquiries, requests, and other communication with a high level of discretion and excellent judgment.

  • Coordinating travel, including hotels, flights, ground transportation, meals, and other related activities and items.

  • Providing planning and logistical support for lab meetings, retreats, events, outings, and celebrations.

  • Coordinating letters of recommendation and nominations as needed.

  • Updating and maintaining Dr. Marlin's CV and the lab's website.

  • Maintaining a variety of forms and other documentation.

  • Managing reimbursements for both Dr. Marlin and the lab team.

  • Partnering with People & Culture to support all personnel-related activities (appointments, annual reviews, recruiting/hiring, visa sponsorship, etc.).

What you bring:

  • A bachelor's degree in a relevant major or an equivalent combination of education and experience is required.

  • A minimum of 5 years of previous high-level administrative experience supporting an executive-level leader is required.

  • An enthusiasm for being a part of the Marlin lab and supporting its research mission and goals.

  • Excellent organizational and interpersonal skills with strong attention to detail.

  • Excellent computer skills and digital literacy, including demonstrated proficiency with Microsoft Office and relevant software applications.

  • Excellent written and verbal communication skills.

  • Ability to use good judgment in working independently, showing initiative, managing priorities, responding to inquiries, being flexible, seeing tasks to completion, and maintaining confidentiality.

  • Ability to work collaboratively and positively with a wide variety of people at all levels and from all backgrounds.

Physical Requirements

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).

Compensation Range

$75,210.00 (minimum) - $94,000.00 (midpoint) - $122,245.00 (maximum)

Pay Type:

Annual

HHMI's salary structure is developed based on relevant job market data. HHMI considers a candidate's education, previous experiences, knowledge, skills and abilities, as well as internal equity when making job offers. Typically, a new hire for this position in this location is compensated between the minimum and the midpoint of the salary range.
