We are seeking a Production Associate to join the Capital Markets Debt team. We are looking for a motivated individual who can easily juggle shifting priorities, moving between client event planning, marketing, and transaction management of real estate deals across all property types for the #1 finance team in the business. This is a fast-paced, team-oriented environment. We partner with producers, analysts, and associates to help the office's overall deal flow and success.
Key Responsibilities o Act as project manager for the Debt team, managing shifting timelines and moving a deal through the lending process from engagement to closing in our proprietary database. o Heavy marketing responsibilities: create and edit presentations, pitches, and client deliverables for prospect/client meetings with PowerPoint, and Microsoft Software. o Coordinate and collaborate with the graphic design team on high-end deliverables. o Take the initiative to support Producers with specialty and high-priority projects, which can include lead hunting, deal origination, client outreach, and marketing efforts. o Work with vendors utilized in conjunction with transactions. o Manage and update deal statuses, manage press releases, calling lists, and activity tracking. Prepare documents including Requests for Proposals, Fee Agreements, Confidentiality Agreements, financial comparisons, invoices, etc. with direction from Producers and/or knowledge of company policies, procedures, and best practices o Organize and participate in client meetings and/or calls o Plan and participate in industry functions or client events. o Process deal file paperwork, gather and label required documents, obtain necessary approvals o Manage, update, and post transactions to financial software system, Capforce & Dealio Perform general duties such as tracking and processing expense reports, invoices, assisting with travel arrangements, calendar management, scheduling meetings, greeting clients, and providing backup support to fellow production associates as needed. o Participate in regular PA and business unit meetings o Duties assigned as the business needs require o Assist in drafting the individual and collective goals of the Miami Debt Capital Markets team and ensure that the goals are being achieved o Assist in developing schedules, ensuring timely completion of tasks, and adherence to project timelines o Attend weekly analyst meetings, ensure estimated close date and stage are up to date o Dual tracking report - keeping track of all new pitches/BOVs from the investment sales teams o Coordinate client events and real estate conferences o Schedule meetings and calls/book conference room, if needed, including organizing logistics, securing venues, catering, and preparing materials o Contribute to process improvements and best practices to enhance overall production efficiency o Updating Lists and Reporting Experience and qualifications o 1-3 years relevant experience supporting multiple people preferably in the commercial real estate industry or other professional services organization o Bachelor's Degree Required o Familiarity with Salesforce o High level of proficiency and working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook required o Graphic design experience and knowledge of Adobe Software such as InDesign and Photoshop a plus o Work enthusiastically in a team atmosphere, promoting collaboration and idea sharing verbally and through action o Strong organizational, interpersonal, and communication skills o Strong ability to multi-task with multiple projects and deadlines in a "high-volume" fast-paced environment o Strong proofreading and editing abilities o Ability to manage time well and be self-motivated, without direct supervision o Strong client service orientation; proactive working style and friendly, helpful attitude o Commitment to high professional ethical standards o Demonstrate problem-solving, decision-making, and analytical skills | |
