What this job involves

Supporting industry changing projects
We are seeking a detail-oriented and organized Project Coordinator to join our team. The successful candidate will play a crucial role in supporting project managers and teams, with a particular focus on managing purchase orders, invoices, and financial tracking for various projects. Being forward thinking and consistently demonstrating initiative to adopt new technologies and contribute to efficient processes is key to the impact you will have in this role. The ideal candidate will have strong Excel skills and be adept at financial tracking and reporting.

Essential Duties and Responsibilities
Support the project management team throughout the project life cycle from Initiate to Close
Purchase Order (PO) Management:Create and process purchase orders in accordance with company policies.
Liaise with vendors and internal teams to ensure timely PO creation and approval.
Track PO status and follow up on outstanding items.
Maintain accurate PO records in the company's financial system.

Invoice Processing:Review and verify incoming invoices against corresponding purchase orders.
Ensure invoices comply with company and project-specific requirements.
Process invoices for payment in a timely manner.

Financial Tracking:Create and maintain financial spreadsheets.
Prepare regular financial reports.
Resolve discrepancies between invoices and POs with vendors and internal stakeholders.
Change orders.

Project Support:Assist with project documentation and ensure proper filing and organization.
Support project managers in various administrative tasks.

Communication:Act as a liaison between project teams, finance department, and vendors.
Respond to inquiries from team members and stakeholders regarding POs, invoices, and project financials.
Administration

AdministrationKnowledge Management and training to include creation and maintenance of training materials, maintain and developed project management field manual.
Systems support, including trouble shooting and issue resolution.
Single point of contact for systems, training, process, general questions and issue resolution for assigned projects.
Process Improvement
Metric based reporting internal to Project Management Team
Badging and security guard requests
Assist with tracking RFIs, submittals, material expediting log

Education and experience
A Bachelor's degree from an accredited institution is required.
(2+) years of experience related to construction project management is preferred, but experience supporting commercial real estate professionals in any sector is a plus.

Knowledge, Skills and Abilities
Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.
Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis.
Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.
Advanced proficiency in Microsoft Office Suite. Spreadsheet skill set to include advanced functions such as formulas and pivot tables.
