Role Overview

The Office Services Facilities Coordinator supports the Office Services Management team in overseeing the day-to-day operations of the office facilities and providing support to various departments. This role is responsible for ensuring a safe, clean, and functional work environment for employees and visitors. The Office Services Facilities Coordinator also manages projects and initiatives, requiring strong communication skills, organizational aptitude, and the ability to handle multiple ongoing projects. In this role, you will coordinate with vendors, manage facility maintenance and relocation requests, oversee repairs and improvements, update floor plans, generate reports, and ensure the overall cleanliness and upkeep of the office space.

Location

This role is required to work onsite in our Newport Beach, CA office five days a week, Monday through Friday.

Responsibilities

The key responsibilities include, but are not limited to:

  • Handle and prioritize all Office Services/Facilities ServiceNow requests and coordinate with relevant parties such as building management or engineers for issues related to furniture, HVAC, plumbing, electrical, and doors.

  • Manage and coordinate all relocation requests in collaboration with the Help Desk, Telemedia, movers, and the Administrative Services team, ensuring all details are accounted for and communicated effectively before, during, and after the move.

  • Regularly update Workday and floor plans to track occupancy and generate reports, including badge access and occupancy numbers.

  • Update floor plans using AutoCAD and Excel.

  • Coordinate and oversee facility maintenance, repairs, and improvements, ensuring compliance with safety and regulatory standards.

  • Generate monthly security access reports for areas such as Alts, Fitness Center, and Vault.

  • Assist with space planning and utilization, ensuring efficient use of office space and resources.

  • Process invoices and track Facilities spend in budget spreadsheet

  • Maintain and ensure the overall cleanliness and upkeep of the office space,

  • Be available for on-call support 24/7, as needed, to address facility issues.

  • Coordinate the removal of furniture or other facilities-related items for client and employee events.

Position Requirements

  • High School Diploma or equivalent.

  • 2-5 years of experience in office facilities coordination or a similar role.

  • Knowledge of facility management principles and best practices.

  • Strong organizational and multitasking skills, with the ability to prioritize tasks and manage multiple projects simultaneously.

  • Excellent communication and interpersonal skills, with the ability to interact professionally with employees, vendors, and contractors.

  • Proficiency in using office software and equipment, such as Microsoft Office Suite, facility management software, and security systems.

  • Attention to detail and problem-solving abilities to address facility-related issues effectively.

  • Ability to work independently and collaboratively in a team environment.

  • Physical ability to perform tasks such as lifting and moving office furniture or equipment, as required (up to 50 pounds).

  • Familiarity with security systems and AutoCAD (or similar systems) is desirable.

PIMCO follows a total compensation approach when rewarding employees which includes a base salary and a discretionary bonus. Base salary is the fixed component of compensation that is determined by core job responsibilities, relevant experience, internal level, and market factors. The discretionary bonus is used to award performance and therefore is determined by company, business, team, and individual performance.
Hourly Rate Range: $ 31.25 - $ 33.17
